Custom & Team Order Process

Thank you for choosing MUMU Apparel for your custom and team apparel needs. Custom orders are made specifically for your team or organization and are designed and manufactured based on your approved artwork, colors, products, and specifications.

This policy explains the custom ordering process, pricing, design approvals, production timelines, changes, sizing, defects, international orders, and other terms that apply to custom and team apparel orders.

1. Custom Order Process

Custom orders follow a defined process. Understanding each step will help you plan your order and avoid unnecessary delays.

Step 1 - Inquiry & Quotation

Contact us with your team's requirements, including:

  • Product selection
  • Estimated quantities
  • Design references or artwork
  • Requested delivery timeline, if applicable

We will provide a written quotation outlining pricing based on applicable quantity tiers, setup fees, and an estimated production timeline.

The ordering process begins once the quotation has been accepted and payment or any required deposit has been received.

Production lead times are calculated from the date all required payment, final artwork approvals, proof approvals, and other required order information have been received and confirmed, not from the date of the initial inquiry.

Step 2 - Artwork & Design Submission

Once you have finalized the products included in your order, you will need to provide artwork for our design team.

Artwork requirements include:

  • Vector files are preferred for logos and design elements, including .AI, .SVG, or .PDF files.
  • High-resolution PNG files may also be accepted. Files should be at least 300 DPI at full size with a transparent background.
  • If suitable artwork is not provided and logo recreation is required, a $75 recreation fee applies per logo.

Our design team will apply your artwork to the appropriate MUMU product templates.

MUMU uses different templates across its product lines, and the available design areas and placement options may vary between products. Our team will advise you regarding available placement options.

Step 3 - Design Proposals & Revisions

Our design team will create up to three design proposals for your review.

For each proposal, you may request up to three revision rounds at no additional cost.

Revisions requested beyond the three included rounds are subject to a $25 fee per revision. This fee may be waived at MUMU Apparel's discretion based on order size, account status, or partnership arrangements.

Revision requests must be submitted in writing with clear and consolidated feedback.

Multiple separate requests submitted during the same revision stage may be treated as additional revision rounds.

Step 4 - Fit Kit & Product Samples

Before committing to a full production order, we strongly recommend using a Fit Kit to confirm sizing across your team.

We may also provide individual product samples from different product lines to help your team evaluate fabrics, construction, fit, and product styles.

  • Deposit: A refundable $300 deposit is required to receive a Fit Kit.
  • Purpose: Fit Kit items are provided for sizing evaluation only and may not be used for riding, training, or other physical activity.
  • Return deadline: The complete Fit Kit must be returned within 15 days of receipt.
  • Return shipping: A prepaid return label is provided.
  • Return condition: All items must be returned in their original condition and original packaging without signs of wear or use.
  • Missing, damaged, or worn items will be charged at the full retail price.
  • The Fit Kit must be returned in its entirety.

The Fit Kit deposit will be refunded after the complete Fit Kit has been received and inspected in accordance with the applicable return requirements.

Product Samples

Individual product samples may also be available to help evaluate fabrics, construction, and styles.

Unless otherwise communicated by MUMU Apparel, product samples are:

  • Provided for evaluation purposes only.
  • Required to be returned within 15 days.
  • Returned using the prepaid return label provided.
  • Required to be returned in their original condition.

Missing, damaged, or worn samples may be charged at full retail price.

Not all products or sizes are available through the Fit Kit or sample program. Our team will advise you regarding availability when your request is submitted.

Customers may also try on available MUMU products at our Clearwater office during regular fitting hours:

Appointments outside these hours may be available by prior arrangement. Please contact us through our Contact Form to schedule an appointment.

Step 5 - Design Approval & 3D Render

Once design revisions are complete, you will provide written approval of the final 2D design mockup.

After approval, MUMU Apparel may prepare a 3D render for final visual confirmation, followed by a printed proof for color approval.

Printed proofs may be provided as:

  • A high-resolution photograph of the printed proof; or
  • A physical printed sample, where applicable.

Printed proofs are intended to confirm colors and are not intended to reopen previously approved design elements.

Physical printed proofs may require up to two additional weeks to prepare and deliver. If your timeline is limited, we recommend approving a photographic proof rather than waiting for a physical sample.

The standard production timeline begins once all required payment, final artwork approvals, proof approvals, and other required order information have been received and confirmed. Delays in completing any of these requirements may delay production or delivery.

MUMU Apparel is not responsible for delays caused by late approval of designs or printed proofs.

Step 6 - Production

Once all required design and proof approvals have been completed and payment has been confirmed, the order will be submitted for production.

Orders generally enter production within 48 hours of submission to the factory.

Once production has started, changes, additions, and cancellations cannot be accepted. Please see Section 4 for additional information.

Step 7 - Quality Inspection & Shipment

Completed garments undergo a quality inspection before shipment.

Once your order has shipped, tracking information will be sent by email.

2. How to Place a Custom Order

Custom and team orders may be placed in one of two ways depending on your team's size and ordering needs.

Option A - Bulk Order

A team manager or coordinator collects sizes and quantities from all team members and submits one consolidated order.

This option is generally best for smaller teams or organizations with a designated coordinator managing the order.

Orders may include as few as one unit of an item, subject to applicable minimum quantities and setup fees.

For orders under $2,000:

  • Products ordered in quantities of 1-5 units per item may be subject to a $75 setup fee per item.
  • The setup fee is waived when 6 or more units of the same item are ordered.

Orders totaling $2,000 or more qualify for Large Order benefits as described in Section 3.

Option B - Team Online Store

MUMU Apparel may create a dedicated online Team Store where individual team members place and pay for their own orders.

This option is well suited for larger clubs, teams, or organizations where collecting individual sizes and payments through one coordinator is impractical.

Once all required approvals, artwork, pricing, product selections, and markup information have been received:

  • Team Store setup typically requires approximately 1 week.
  • The Team Store generally remains open for approximately 1 week.
  • Production after the store closes generally requires 5-8 weeks.

The estimated total timeline is approximately 7-10 weeks, assuming no changes or delays occur during the process.

Small Team Stores - Total Order Under $2,000

  • Minimum commitment of 4 units per product added to the Team Store.
  • A $75 setup fee applies to products with fewer than 6 units ordered when the total Team Store order is under $2,000.
  • Setup fees do not apply to qualifying reorders.

Large Team Stores - Total Order of $2,000 or More

  • Minimum commitment of 1 unit per product added to the Team Store, except products subject to mandatory manufacturing minimums.
  • No setup fees apply to qualifying products when the total Team Store order is $2,000 or more.
  • Setup fees do not apply to qualifying reorders.

Team Store Changes

Changing product lines, adding or removing products, or modifying the item selection after the initial Team Store request may extend the setup timeline.

Rush Team Stores and Team Stores with fixed delivery deadlines are subject to approval by MUMU Apparel.

Additional fees, production requirements, or other conditions may apply.

For the fastest turnaround, we recommend keeping the initial product selection focused. A large number of different products may increase the time required to prepare and launch the Team Store.

3. Pricing, Minimums & Fees

Custom pricing is based on the quantity ordered per item and the overall order value.

Most products do not have a mandatory minimum quantity, but smaller orders may be subject to setup fees.

Large Orders - Total Order of $2,000 or More

Orders totaling $2,000 or more qualify for Large Order pricing and benefits. Unless a product is subject to a mandatory manufacturing minimum:

  • No minimum quantity per item applies for most products.
  • No setup fees apply regardless of pricing tier.
  • No setup fees apply to qualifying reorders.

Small Orders - Total Order Under $2,000

For orders totaling less than $2,000:

  • Products ordered in quantities of 1-5 units per item are subject to a $75 setup fee per item.
  • The $75 setup fee is waived when 6 or more units of the same item are ordered.
  • No setup fees apply to qualifying reorders.

Pricing Tiers

Pricing improves as the quantity ordered per item increases.

  • Tier 1: 1-5 units per item.
  • Tier 2 and above: 6 or more units per item qualify for volume pricing.

Orders totaling $2,000 or more automatically qualify for applicable Large Order benefits, including the waiver of setup fees.

Mandatory Minimum Quantities

Certain products require minimum production quantities because of manufacturing limitations.

These minimums cannot be waived, and affected products cannot be produced unless the applicable minimum quantity is met.

4. Order Changes & Cancellations

Because custom products are manufactured specifically for your team or organization, the ability to change or cancel an order is limited.

Changes Within 48 Hours

Requests to change quantities, sizes, shipping information, or design details may be submitted within 48 hours of placing your order, provided the order has not entered production.

Please submit any requested change through your MUMU Apparel Sales Representative or our Contact Form below.

Include your order information and a detailed description of the requested change.

We will make reasonable efforts to accommodate your request, but changes cannot be guaranteed.

MUMU Apparel will confirm whether the requested change can be accepted.

No Changes After Production Begins

After 48 hours from the time your order is placed, or once production has begun, whichever occurs first, changes, additions, and cancellations cannot be accepted. Most custom orders enter production within 1-2 business days after final approval and order submission.

Once production has started, custom products are being manufactured specifically for your team or organization and cannot be modified, cancelled, or refunded except where required by applicable law.

Order Cancellations Before Production

Cancellation requests received within 48 hours of order placement and before production has started may be approved at MUMU Apparel's discretion.

If a cancellation is approved, any refund may be reduced by non-refundable costs already incurred, including applicable design, artwork, setup, or administrative fees. Cancellation requests should be submitted through your MUMU Apparel Sales Representative or our Contact Form below.

5. Production Timelines

All production timelines are estimates and begin once all required payment, final artwork approvals, proof approvals, and other required order information have been received and confirmed.

Standard Orders

Standard custom orders are typically completed within 5-8 weeks after all required payment, final artwork approvals, proof approvals, and other required order information have been received and confirmed.

During Peak Season, December 21 through January 21, production may require up to 9 weeks due to increased order volume.

Rush Orders

Rush production may be available for selected products and must be approved in advance by your MUMU Apparel Sales Representative.

Rush orders may be subject to:

  • An 8% rush production fee.
  • Additional expedited shipping charges.
  • Product and order eligibility requirements.
  • Production availability.

Reorders

Reorders of previously produced designs may be completed faster than new custom orders because artwork and production files are already on record.

However, reorder production timelines are not guaranteed and may still be affected by production volume, Peak Season, product availability, or manufacturing requirements.

Team Stores

Most Team Store orders require approximately 7-10 weeks, including:

  • Approximately 1 week to build and launch the Team Store.
  • Approximately 1 week for the Team Store to remain open for customer orders.
  • Approximately 5-8 weeks for production after the Team Store closes.

These estimates assume all required approvals and information have been provided and no changes are requested after the Team Store closes.

Factors That May Delay Production or Delivery

The following circumstances may delay production or delivery:

  • Changes requested after design or proof approval.
  • Delayed or incomplete payment.
  • Outstanding Fit Kits that have not been returned when required.
  • Missing or incorrect shipping or delivery information.
  • Delays in approving artwork, digital proofs, or production proofs.
  • Increased production demand during Peak Season.
  • Rush Production Blackout Periods.
  • Customs inspections, import processing, or clearance delays for international shipments.
  • Shipping delays caused by USPS, UPS, FedEx, DHL, or other third-party carriers.

Production does not begin until all required payment and approvals have been received and confirmed.

If you have a specific event or delivery deadline, it should be communicated at the beginning of the ordering process.

All production and delivery timelines are estimates and are not guaranteed unless otherwise agreed to in writing by MUMU Apparel.

6. Customization Options

Custom apparel may include design-based customization such as:

  • Colors and color blocking.
  • Graphics and patterns.
  • Logos and team marks.
  • Names and numbers.
  • Sponsor placement.

Certain minor fit adjustments may also be available upon request, including:

  • Bib short inseam length.
  • Jersey sleeve length.
  • Outerwear sleeve length.

For structural changes, template modifications, or other customization requests, please contact MUMU Apparel before placing your order. We will advise you regarding feasibility, additional fees, and potential effects on production timelines.

7. Sizing, Fit & Manufacturing Defects

Sizing Responsibility

Custom orders are manufactured according to the sizes confirmed when the order is finalized.

The team manager, coordinator, or individual placing the order is responsible for confirming that all submitted sizes are correct.

We strongly recommend using the Fit Kit service described in Section 1 before finalizing sizes for a full team order.

Custom products are not eligible for return or exchange due to incorrect size selection unless otherwise required by applicable law.

Manufacturing Defects

If you believe a custom item has a manufacturing defect, including a stitching failure, material defect, or print error that materially differs from the approved proof, please contact us within 14 days of delivery.

Please provide:

  • Your order number.
  • A detailed description of the issue.
  • Clear photographs showing the suspected defect.

If MUMU Apparel confirms that the issue is a manufacturing defect, we will determine the appropriate resolution, which may include replacement or account credit.

Minor color variations between digital renders, printed proofs, and finished garments may occur as part of the sublimation printing process and are not necessarily considered manufacturing defects.

For color-critical orders, we recommend approving a physical printed proof before production.

8. International Custom Orders

MUMU Apparel ships custom orders internationally.

International customers are responsible for applicable import duties, taxes, VAT, customs clearance fees, brokerage charges, and other import-related costs imposed by the destination country unless otherwise stated in writing.

These charges are not included in quoted pricing unless expressly stated otherwise.

We recommend allowing at least 1-2 additional weeks for international shipping beyond the standard production timeline. Additional time may be required for destinations with longer customs-processing periods.

Customs inspections and clearance delays are outside MUMU Apparel's control and may affect delivery dates.

9. Logos, Artwork & Intellectual Property

By submitting logos, artwork, graphics, trademarks, or other design elements to MUMU Apparel, you represent that you own the submitted materials or have the necessary permission and rights to use them.

You are responsible for ensuring that the use of submitted materials on custom products does not infringe the intellectual property or other rights of any third party.

MUMU Apparel is not responsible for claims arising from unauthorized customer-supplied artwork or other materials.

MUMU Apparel may photograph finished custom products for portfolio, marketing, website, or social media purposes unless you notify us in writing at the time of your order that you do not authorize this use.
